General Responsibilities

Reporting to the Chief Registrar, the Digital Asset Manager is charged with developing the infrastructure of the museum’s digital asset platform, and leading efforts in migrating and organizing exiting media, chiefly images, to meet the Menil Collection’s strategic digital initiatives and future implementation of a Digital Asset Management System (DAMS).

Specific Duties

  1. Work closely with the Menil Archives, and Curatorial, Communications, Publishing, External Affairs and Conservation Departments, to consolidate the museum-wide image and media usage and storage and establish consistent standards, policies, and procedures regarding the same.
  2. Create and enforce naming taxonomies and metadata scheme, tagging files with relevant and accurate metadata, enforcing asset file standards, and ensure application documentation is up-to-date.
  3. Distribute assets to internal users and external partners.
  4. Enforce digitization and photography standards.
  5. Lead training and education for staff.
  6. With the recent implementation of The Museum System (TMS) and Share Point software, and in the early stages of redeveloping the institution’s website, act as a vital hub within the museum’s larger digital and technological goals.
  7. Facilitate the integration of digital media assets into the TMS database from all museum departments, and work closely with IT staff and staff in departments across the institution to improve access to digital assets for daily use, special projects, and initiatives.
  8. Collaborate with and advise TMS administrator on configuration and customization of the TMS server application and other software for image handling and metadata application.
  9. Provide quality control for all metadata to assure accuracy and consistency across the institution. This includes the developing and managing of metadata tools, controlled vocabularies and other metadata standardization solutions.
  10. Assist in bringing existing assets up to appropriate standards, including reorganization of file directories and metadata cleanup projects.
  11. Provide functional support to individual staff DAM software users with technical support from the TMS administrator.
  12. Work closely with TMS administrator to improve and expand the distribution of and access to still image, video, and other digital assets for museum staff and external clients.

Qualifications

  1. BA or BS in Library Science, Museum Studies, Computer Science, or related field. Master’s degree preferred.
  2. 3-4 years practical experience in a museum, archives, or library image archive, including: database management, software administration, digital rights management, metadata standards and practices, file formatting, and data migration.
  3. Excellent communication skills, including the ability to collaborate with staff at all levels across the institution, and with outside organizations and vendors.
  4. Experience with TMS, digital asset management systems, and print and media technologies.
  5. A thorough understanding of intellectual property law, including “fair use” and similar copyright issues.
  6. Ability to work collaboratively with others as part of a team as well as independently.
  7. Must possess the drive and focus necessary to improve and expand the distribution of and access to the museum’s permanent collection and exhibition assets through digital media.
  8. Team player with the ability to organize information at a high level, multi-task in a fast-paced environment, and creatively solve problems.

The Librarian (Cataloger) position reports to the Processing Unit Head, Moving Image Section, MBRS Division, Collections and Services Directorate, Library Services. The MBRS Division is responsible for the acquisition, processing, preservation, duplication and reference servicing of the moving image and sound recording collections of the Library of Congress. Content contained on a variety of moving image and sound recording formats and in a number of different languages is cataloged, including associated documentation pertaining to or describing the collections.

The incumbent catalogs a variety of difficult material sometimes requiring specialized knowledge. Performs the full range of original cataloging duties for a variety of moving image materials. Resolves problems promptly and independently, involving the supervisor on only the most difficult problems and assists in ensuring that records are compatible with appropriate national and international standards. The incumbent trains and reviews the work of technicians, temporary staff, interns, and catalogers functioning at lower levels of proficiency in the cataloging and processing duties assigned them.

Temporary Librarian – The Costume Institute, New York, NY

The Thomas J. Watson Library in The Metropolitan Museum of Art is seeking a candidate for a part-time position of a Temporary Librarian for the Irene Lewisohn Costume Reference Library located in the Costume Institute department. This is a four-day, 28 hours per week, position.

The Temporary Librarian will perform a variety of public and technical services functions in the Irene Lewisohn Costume Reference Library for six months while the librarian is on maternity leave. Working in close coordination with Watson staff, this position will provide public service for the Costume Institute Library’s varied clientele including department staff and visiting researchers, mediating access to the collection.  Other tasks include selecting new materials, prepare periodicals for binding, assist with the processing backlogs of un-cataloged material and digitization projects.

The Position:
Lamont Gallery is embarking on the first sustained and comprehensive project to
inventory, identity, and organize objects in its collection and to develop a set of procedures,
policies and systems in support of maintaining the collection. The Collections Manager will
coordinate the development of this project, and oversee all aspects of the care and
management of works of art owned by or on special loan to or by Lamont Gallery. This
position will report to the gallery director and curator.
The Collections Manager, working with gallery staff and consultants, will:
 Conduct a comprehensive objects inventory of Lamont Gallery collections in gallery
storage and across campus.
 Oversee the development/purchase and maintenance of a digital collections
management system.
 Organize and manage other records and files that provide information on the
history, provenance, status, condition, location, and insurance of each object,
working in collaboration with the Institutional Advancement, Archives, Facilities
and Finance departments where relevant. Create a standard protocol for future
object files.

 In conjunction with the gallery manager, supervise art handling, preparation,
installation, packing and shipping associated with work from the collection.
 Work with curator, education staff, interns, and volunteers to develop educational
programs linked to objects from the collection.
 Assist faculty, students, individuals and institutions engaged in research and
scholarship pertaining to Lamont Gallery collection; provide access to the collection.
Qualifications
The successful candidate must have a Bachelor’s Degree in art history, museum studies or library
science, ideally with concentration in collections management. Masters-level training
preferred but undergraduates with substantial hands-on experience in the field (conducted
in a professional setting outside of the context of a degree program) are also welcome to
apply.

The ideal candidate will have:
 Demonstrated experience with and knowledge of accepted registration and
collections practices and principles including inventory, collections management
systems, provenance research, and object/art handling.
 Experience with some or all aspects of starting a collections management project
from start to finish is desirable. Familiarity with AAM guidelines, collections
policies, and academic collections.
 Knowledge of standard practices in art shipping and storage, materials knowledge
(2D/3D), and exhibition preparation.

Job Opportunity: Digital Asset Manager Global Brand Design, Herman Miller, Holland, MI

Responsible for leading the strategic effort around enhancing and protecting the Herman Miller brand by collecting, curating, and managing all Marketing, Editorial, and Design assets through their lifecycle for Print, Digital, and Environments.

Essential Functions:

  • Develops a global digital asset management strategy. Leads and directs the implementation efforts around the collection, protection, and disposition of Herman Miller’s digital assets.

  • Provides oversight of the usage and protection of corporate assets.

  • Creates the structure, standards, and maintenance of the DAM and Styling Library.
  • Creates and maintains the metadata and taxonomy structures.

Minimum Requirements:

  • Bachelor’s degree in Graphic Arts Communication, Library Science, Archives, or related studies.
  • Five years of Digital and Physical Asset Management experience.
  • Knowledge of production skills (understanding of file formats, video, images, etc.) and the Adobe Creative Suite.
  • Standard knowledge of taxonomy and metadata.
  • Working knowledge of digital asset management software; including knowledge of coding language.
  • Demonstrated leadership competencies including ability to manage, lead, and inspire a team.

Duties & Responsibilities Job Summary:
Under general guidance from the Archivist/Records Manager, assists in the overall operation and functioning of the Harvard Art Museums Archives. Provides reference services, records management, and administrative support to the department and to the Archivist/Records Manager.

Duties and Responsibilities:
Assists in providing research services to museums staff, Harvard students and faculty, and external researchers. Researches archival collections and responds to email, telephone, and in-person inquiries. Monitors researchers in the Archives’ study space and provides on-site assistance. Tracks research inquires and visits, and creates topical reference guides for high-use collections.

Aids in executing records management procedures. Reviews inactive institutional records in all formats. Creates folder lists, references Harvard General Records Schedule, and prepares records for transport to offsite storage facility or digital repository.

Assists in appraising, arranging, and describing analog and digital collections. Processes manuscript collections, performs basic preservation tasks, and creates DACS-compliant finding aids encoded in EAD as well as MARC records for inclusion in Harvard’s online catalogs. Performs collections research to create exhibits and content for social media, and participates in varied outreach activities on behalf of the Archives.

Provides general departmental support including collection maintenance and monitoring archival supplies for reorder. May train and supervise student assistants and interns. Assists Archivist/Records Manager in department planning and policy initiatives as needed.

Basic Qualifications:

MLS with archives concentration from an ALA-accredited program required and a minimum of one year of professional archival experience, including reference services and archival processing.
Additional Qualifications Degree in Art History or History useful, but not required. Records management experience a plus.
Demonstrated proficiency with Encoded Archival Description, MARC format, DACS, RDA. Experience with FileMakerPro and The Museum System (TMS) a strong plus. Excellent interpersonal and written communication skills required. Positive, problem solving and customer service attitude. Must be reliable, organized, and detail-oriented.
