Position Overview: Working closely with the Archivist, the Assistant Archivist helps to accession, arrange, describe, preserve and manage the Archives’ collections. The Assistant Archivist plays a key role in helping to oversee the Archives’ various digital initiatives, including developing the implementation of CollectiveAccess, Archive-It, and other tools to describe, preserve, and present archival holdings in digital form. She/he contributes to department planning and strategic development, provides public services and outreach through consultation, instruction and presentation. Duties & Responsibilities:

  • Arrange, describe and otherwise process archival collections using CollectiveAccess, according to local and professional standards.

  • Help to manage the Archives implementation of Archive-It.
  • Maintain Archives server and manage digital representations.

This position is within the staff of the Deputy Director (DD) in the Library Reader Services Department (DLR) of the National Gallery of Art (NGA). The purpose of this position is to oversee and provide a variety of interlibrary loan (ILL) services as well as reference and reader services to NGA curatorial and administrative staff, CASVA staff and fellows, and organizations and indivuduals outside the Gallery.

Duties
The incumbent:

  • Processes ILL requests received from other libraries
  • Verifies NGA Library holdings, checks current ILL policy for circulation status and physical condition of requested material, and acknowledges the requests via international databases such as OCLC, and following established ALA procedures
  • Prepares materials for shipment and ensures their timely return; follows up on all outstanding loans by communicating with borrowers by telephone, fax, and regular or electronic mail

Qualifications
SPECIALIZED EXPERIENCE: Applicants must have a minimum of one year of specialized experience at a level of difficulty and responsibility comparable to the next lower grade or comparable pay band in the Federal service or equivalent experience in the private sector.

Candidates must meet the Qualification Standards Handbook requirements for the GS-1410-9. This requires at least one year of specialized experience equivalent to the GS-7 level in the Federal service OR two full years of progressively higher level graduate education or Master’s degree in library science which has been supplemented by coursework in both art history and Western European languages such as Italian, French, Dutch, German, and/or Spanish. Specialized experience is defined as professional librarianship experience that has involved performing interlibrary loan and reference services within a research environment which required knowledge of art history and Western European languages such as Italian, French, Dutch, German, and/or Spanish to perform work assignments. Summary and Responsibilities
Major job responsibilities include administration of our born-digital institutional records preservation program, development and implementation of policies and procedures for the stewardship of born-digital institutional records, and managing software and storage solutions needed to preserve and provide access to digital records. Seeking part-time, project-based Lead Archivist for Center on Contemporary Art (CoCA). Founded in 1980, CoCA has a rich regional history and is one of the country’s oldest artist-run, non-profit organizations. CoCA has presented the work of thousands of emerging and career artists during the past four decades and in the process has amassed a significant collection of related materials.

We are seeking to engage a current advanced degree candidate, recent graduate in Archival, Library Science or related fields or an independent archivist to assist us with implementing best practices for cataloging, digitizing, preserving and sharing the collection. This would include continued development of our database, maintaining proper storage techniques, developing policies and a long-term collections care plan that we will use to secure additional funding in addition to supporting the project.

This project is supported by a 4Culture Collections Care grant to purchase digitizing equipment and expand our digital archive; your input into both of these processes is a key component of this position.

The Architecture, Art and Design Library Specialist provides the day-to-day operations of the Littman Library during the closing shift and is responsible for the library in the absence of the Director. Internship Opportunity: Archival Internship, ARChive of Contemporary Music, NYC

Founded in 1985, the ARChive of Contemporary Music is a not-for-profit archive, music library and research center located in New York City. The ARChive collects, preserves and provides information on the popular music of all cultures and races throughout the world from 1950 to the present. Since the ARChives founding in 1985 our holdings have grown to over 2 million sound recordings, making the ARChive the largest popular music collection in the United States. In addition to sound recordings and publications, the ARChive actively collects all books, magazines, videos, films, photographs, press kits, newspapers clippings, memorabilia and ephemera relating to the history of popular music.

Our current, on-going projects are cataloging and book digitization. Interns may focus on one or both projects and may have the opportunity to work on other projects as they arise.

Cataloging:

Interns will receive training that enables them to catalog CDs, vinyl LPs, or books in our File Maker Pro Database using our in-house cataloging rules.
We depend directly on our interns and allow them a great deal of hands-on experience and responsibility.

Interns may work on related projects (for example, in-filing, processing donations, etc.) as needed, if they are interested.

Qualifications:
Ideal for the position is a student or recent graduate with a background or interest in music, musicology, fine art, or library & information science.

Digitization:

The ARChive of Contemporary Music is the largest collection of popular music in America, with more than two million recordings. Our music book collection is also one of the best in the United States, numbering 20,000+ volumes. To scan this resource the Internet Archive has installed one of their Scribe machines in our Lower Manhattan facility. When completed, all of our materials will be preserved electronically, OCR Readable, and available in-house for reading and research.
Digitization interns will be trained to scan initially, then will be introduced to more complex tasks once they are familiar with the process. Tasks include:

  • Loading, Scanning, and Republishing books while ensuring high quality standards.
  • Training and working as a team.
  • Trouble shooting the scribe machine, mitigating cataloging inconsistencies, and navigating open source software at Internet Archive.
  • Keeping work areas and equipment clean, neat, and organized.

Qualifications:

  • Strong technical (software/hardware) and troubleshooting skills
  • Ability to sit for 6-7.5 hour periods, and comfort with repetitive motion
  • Highly organized

Under the direction of the Manuscripts Cataloger and Metadata Librarian, the Project Archivist, working independently, is responsible for determining the organization and creating intellectual access to the Fitch collection – both analog and digital materials. Will work at Stanford’s Redwood City campus.

CORE DUTIES:

  • Project Archivist will arrange 70 feet of materials and over 200 gigabytes of data for the Bob Fitch collection
  • Participates in the creation of intellectual access to these materials via the online catalogue, finding aids; and, create metadata for digitized and born-digital material

Job Summary:

Under the supervision of the Dean of Academic Affairs and in collaboration with the Director of Learning Resources and Centralized Library Services Team, the Librarian ensures school library functions and services are appropriate and properly planned, implemented, and managed. The Librarian assists the school community in use of the library materials and resources through appropriate and meaningful information literacy and instruction programs as well as reference and research support. The librarian assists the school community with use of academic support services and technology including tutoring, assessments, student portals, learning management systems, and others.

Key Job Elements:

  • Plan, coordinate, conduct, and assess library and information literacy instruction sessions and programs.

  • Process and maintain print periodicals, tracking receipt and filing claims for missing issues.
  • Receive, inspect and oversee shelving of materials purchased through Centralized Library Services Team.
  • Inform Centralized Library Services Team of school community suggested library purchases.
  • Collaborate with School Dean of Academic Affairs, Institutional Effectiveness staff, and Centralized Library Services Team in compiling and submitting information and reports for both internal and external (accreditation) purposes.
  • Serve on school committees in order to promote, share, and gather information regarding library and related support services.
  • Collaborate with school IT to oversee library hardware and software, including AV equipment.
  • Aid Dean of Academic Affairs in selecting, training, and supervising Library Assistants and Student Library Assistants when applicable.
  • Administer academic placement and certification tests when applicable.
  • Conduct long range planning related job function.
  • Other duties as assigned.

Job Requirements:

  • Knowledge:
    • Master’s Degree in Library, Information Science, or related from an ALA accredited school
    • At least one year experience working in a post-secondary institution library
    • Previous experience delivering instruction preferred
    • Knowledge of subjects taught by Art Institute system
    • Knowledge of library and educational technologies
