Department: Acquisitions, Cataloging and Metadata (ACMe)
Classification: Exempt

Status: Full-time, Regular Limited Term, 37.5 hours per week. Two-year position with possibility of extension. 


The Huntington Library, Art Museum, and Botanical Gardens seeks an enthusiastic and collaborative archivist to catalog and process portions of The Jay T. Last Collection of Graphic Arts and Social History and complementary prints and ephemera collections held by the library. Working as part of the Acquisitions, Cataloging and Metadata Services team (ACMe), the Project Archivist arranges, describes, and processes graphic materials items and collections and creates encoded finding aids and MARC records for the Library’s online catalog according to current national standards and best practices. 

In addition, the Archivist provides expertise in graphic materials cataloging, specifically prints, drawings, posters, advertisements, and other forms of ephemera. The Archivist describes graphic materials in item-level catalog records or collection-level finding aids and MARC records, and may transform metadata for items selected for digitization. The Archivist contributes to both the processing unit’s and the ACMe department’s policies, procedures, and the design of productive workflows. Reports to the Archival Processing Manager. 

Essential Functions

  • Arranges, describes, and processes portions of The Jay T. Last Collection of Graphic Arts and Social History and complementary materials in the prints and ephemera collections. Creates encoded finding aids and MARC records for the Library’s online catalog according to current national standards and best practices. 
  • Creates and enhances RDA NACO authority records for names. 
  • Contributes to policies, procedures, productive workflows, and standards compliance to insure a user-centered, access-driven approach to archival processing.  
  • Monitors current developments, trends, and emerging technologies in the field of archives and special collections and engages with the professional community on a local, state, or national level. 

Other Duties

  • May supervise the work of library assistants. 
  • Perform other duties as assigned.


  • ALA-accredited master’s degree in library and information science required, or equivalent accredited degree, with formal training in archival theory and practice. 
  • Demonstrated expertise in arranging, describing, and processing archival visual materials and preparing finding aids of varying size and complexity. Proficiency in efficient and extensible processing techniques. 
  • Demonstrated record of preparing processing plans, utilizing various levels of processing, and bringing projects to a successful conclusion in a timely fashion, and evaluating outcomes. 
  • Demonstrated mastery in the use and application of EAD, DACS, DCRM(G), MARC, LCSH, AACR2, RDA and other library and archival descriptive and content standards. 
  • Demonstrated knowledge of XML schemas and the use of XML editors and/or archival content management systems, such as Archivists’ Toolkit or ArchivesSpace. Facility in the manipulation of metadata across systems and platforms. 
  • Familiarity with basic preservation of archival materials, including proper handling, housing, and storage. 
  • Ability to work well in a collaborative, team-based environment. 
  • Strong written, verbal, and interpersonal communication skills. 
  • Excellent organizational skills including accuracy and a strong attention to detail. 


  • Two or more years of professional archival processing and/or cataloging experience, preferably in an academic or research library. 
  • Experience processing and/or cataloging graphic arts, prints, and ephemera materials strongly preferred.
  • Experience enhancing and transforming metadata for archival collections, including manipulating data to integrate unstructured and/or legacy information with standardized descriptions and repurposing metadata for reuse. 
  • Experience working with archival content management systems, such as ArchivesSpace or Archivists’ Toolkit. 

Working Conditions

Normal office and library environment and library stack areas.
