Requirements: The ideal candidate must have a degree in art history, museum studies, or other relevant field; a demonstrated commitment to a career in museum work; relevant experience and/or knowledge of publishing, copyright, and digital image management; and excellent written and spoken communication skills. He or she must be highly computer literate, with experience managing and assessing digital images and working with databases, and excellent Microsoft Access, Microsoft Excel, and Adobe Photoshop skills. The candidate must be accurate, detailed oriented, highly organized, and have excellent follow-through. She or he must be able to manage multiple complex projects, set priorities, meet firm deadlines, and work well independently but also enjoy collaborating with a wide variety of staff.
Responsibilities: The Image and Media Acquisition Coordinator is responsible for acquiring and licensing digital images, audio, and video from outside sources for Museum publications, exhibitions, installations, and publicity (“licensing in”). The position works across departments to support projects, collaborating with staff from Imaging, Curatorial (Collections and Exhibitions), Editorial, Design, Public Information, and Technology. The position may also work with the Rights and Reproductions Manager on licensing images of the Museum’s objects (“licensing out”). Under the direction of the Head of Digital Collections and Services and in close coordination with the Museum Photographer/Manager of Publication Imaging and with project staff in multiple departments, the Image and Media Acquisition Coordinator undertakes the following:
Project management: The position must create and manage lists of required images and media for projects; contribute acquisition and use costs to project budgets; negotiate fees; process and track payments; maintain contacts list; develop and maintain the existing Microsoft Access database to document project activities; create delivery package to transmit to publishers, including master and derivative files, photo log, and rights documentation; and assist with publication proofing of images and related text.
Image and media acquisition and management: The Coordinator must research, source, and acquire images and other media; work with contract photographers when new photography is needed; manage incoming file transfers; manage master images and media on network; assess quality of image files and troubleshoot as needed; create derivative files and coordinate delivery; perform scanning and post-production editing when necessary; and load images and metadata into Museum DAMS when appropriate;
Licensing: She or he must evaluate object, image, and personality rights status; act as point person to approve images and image use for requested purposes; conduct Fair Use determinations and review with Museum Counsel; generate and acquire licenses; acquire data and work with Curatorial to draft captions and credit lines; work with Editorial to ensure complete and accurate captions, copyright notices, and source credits; track restrictions and requirements; and maintain project records.
Other: The position is required to assist the Manager of Rights and Reproductions with projects as needed; participate in Digital Collections and Services initiatives; conduct departmental administration; supervise and mentor interns; and participate in Museum-wide projects such as task forces and activation teams.

Work schedule: Monday through Friday, 9 a.m. to 5 p.m., 35 hours a week
